Step 1: Record the call

Use a tool like Fathom, Fireflies or your built-in Zoom or Teams recording. Tell people you are recording.

Step 2: Use the auto summary

Most tools generate a summary within minutes. Open it before you do anything else and check it captures the real decisions, not just the topics.

Step 3: Edit for clarity

Trim anything that does not need to be there. Pull decisions and actions to the top. Add owners and dates next to each action.

Step 4: Write the follow-up

Ask an assistant to draft a short follow-up email using the cleaned summary. Keep it to a few short paragraphs.

Step 5: File it

Save the summary in a single, predictable place. A shared folder by client or project works well. This becomes a useful archive within a few months.
